What type of clients do you typically support?

Optimal MEPS supports M&E contractors working across commercial, industrial and fit-out projects. This includes both main contractors and specialist mechanical and electrical subcontractors.


What information do you need to get started?
To review a tender and confirm scope, programme and fee, we typically require:

  • Tender drawings, specifications and schedules

  • Relevant tender documents

  • Programme and return date

Once reviewed, availability, timescales and fee can be confirmed.

 

How are your fees structured?
Fees are agreed in advance and are based on the size, complexity and 
level of detail involved in the scope of work and information issued. Each enquiry is reviewed before confirming a fee.

Do you provide support on a one-off or ongoing basis?
Both. Support can be provided on a project-by-project basis or as 
ongoing assistance where additional estimating or QS capacity is required.


What does your estimating output include?
Each estimate is issued in a clear, structured format, including:

  • A concise tender summary

  • Documented assumptions and qualifications

  • Detailed build-ups by section​​

  • A transparent mark-up area allowing final adjustments

Outputs can be lifted directly into a contractor’s own submission or issued as a standalone tender offer.

What software and pricing data do you use?

Estimating is carried out using established industry estimating software linked to a live cost database that is regularly updated. Client-specific supplier pricing, discounts and agreed mark-ups are applied where provided.

Do you also offer quantity surveying support?
Yes. Quantity surveying support can be provided where required, typically to support commercial management during project delivery.

How does your QS support usually work?
QS support is commonly provided where an estimate prepared by Optimal MEPS is successful, allowing continuity from tender stage into delivery.

Because the estimate is built in detail, the commercial information required for cost control, valuations, variations and final account management is already in place. Ongoing support then focuses on maintaining that position as the project progresses.

What information is required during QS support?
This will vary by project, but typically includes:

  • Brief weekly updates on labour, materials and progress

  • Details of any client changes or instructions

Progress is reviewed in line with the project valuation cycle.

What are your payment terms?

Invoices are issued in line with the agreed scope of workand are payable within 14 days, unless otherwise agreed in advance.

Every project is different. The most effective way to understand whether Optimal MEPS is the right fit is to arrange a short call or Teams meeting to talk through the tender or project requirements.
